JOB SUMMARY
- Working location: 97 Nguyen Van Troi Street, Phu Nhuan Ward, Ho Chi Minh City
- Working hours: Monday – Friday
- Report to: General Director
WHAT YOU DO
- Support GD in communication, on behalf of the GD, issue newsletters to update information, convey instructions, connect with departments: translate documents, interpret in meetings of the GD and related parties.
- Receive guests of the GD: book hotels, restaurants, schedules, means of transportation,…
- Set up an overview of the schedule of activities and events taking place during the year at ADV and regularly update – coordinate when there are changes.
- Improve the ability to anticipate the needs of the General Director and be prepared
- Arrange the General Director’s schedule, including business trips: arrange, remind meeting schedules, book meeting rooms, arrange transportation, meals, go on business trips with the General Director, pay business expenses, etc.
- Preserve and ensure the confidentiality of documents and files of the General Director (safe, General Director’s office file cabinet, etc.)
- Identify, evaluate and propose measures to minimize potential risks
- Check documents submitted to the General Director for signature to minimize errors, comply with company regulations, and prevent fraudulent behavior.
- Master the practical knowledge of all departments to effectively support the General Director. Improve multi-department connection skills
- Report to the General Director information received from departments and employees correctly, sufficiently and promptly.
- Commit to keeping confidential the information shared by the General Director
WHAT WE REQUIRE
- Experience as a Secretary/Assistant to a Japanese Director/General Director.
- Experience working in a Japanese company is an advantage.
- Graduated from College level or higher.
- Good Japanese proficiency in all four skills (listening, speaking, reading, writing).
- Good computer skills.
- Able to travel for business trips as required by the Director.
- Good communication and information delivery skills. (JLPT N1/ N2)
