JOB SUMARY
- Location: Head Quater
- Working time: Monday – Friday, 8:00 AM – 5:00 PM.
- Reporting to: Manager/ Senior Supervisor
WHAT YOU DO
Asset management:
- Review Asset Inventory Manual and propose appropriate adjustments.
- Monitor asset inventory implementation at the headquarters and branches, ensuring inventory reports are updated accurately and on time.
- Ensure all newly purchased assets are assigned codes and tracked in the asset management system.
Admin Cost Monitoring:
- Oversee the timely and accurate payment of Admin-related expenses.
- Review monthly expenses to ensure they do not exceed the approved annual budget.
- Report any unusual cost occurrences or payment delays to direct management.
Administrative Support Operations:
- Review Admin team manual, providing appropriate adjustment proposals.
- Organize training sessions on Admin manuals.
- Review and oversee the renewal/purchase of insurance policies managed by the Admin team.
- Update the list of Admin-related suppliers annually or when changes occur.
- Plan and establish evaluation criteria for supplier performance, recommending replacements or additions as needed.
- Ensure office equipment and facilities are well-maintained, proposing timely repairs, purchases, or disposals in accordance with regulations.
- Monitor the use of the company seal and manage documentation and archiving to ensure compliance.
- Review official documents, announcements, etc., related to Admin operations.
- Support the Admin Supervisor in tasks related to contracts and relevant documents as required.
- Collaborate with branches on matters related to assets, uniforms, etc.
- Develop work instructions, manual, and documentation for the Admin team.
Other Tasks:
- Provide guidance and training for junior staff (officers).
- Implement Kaizen improvement initiatives to enhance work efficiency, improve quality, and reduce costs
- Perform other tasks as assigned by direct management.
- Job responsibilities may be adjusted or expanded based on actual needs, while remaining within the employee’s professional scope.
